Managing Assessment Tasks

 

 

Overview

Assessment Manager supports many types of tasks that can be assigned to individual users to help them track action items. You can manually create and assign tasks to yourself or to any other user.

Tasks differ by how they are created — by the system, manually by users, or triggered by a respondent's answer to a specific question as defined in the Assessment Template. Tasks may also be associated with a particular assessment or with a specific question within an assessment. There are three main task types:

System Tasks

Automatically added to a user's task list as part of the Assessment Workflow. For example, when an assessment is published, a task is created for all respondents to answer their assigned questions. When an approval process starts, a task is created for all approvers to approve the assessment. System tasks are automatically marked as complete as soon as the assignee performs the required action.

Manual Tasks

Created manually by users for themselves or for other users, for any purpose. Manual tasks may optionally be associated with a specific assessment, which must be done manually on the task creation page. Manual tasks must be explicitly marked as complete by the user. Depending on their user role, some users can complete tasks assigned to other users. Note that manual tasks associated with an assessment do not need to be complete for the assessment to reach Approved status.

Remediation Tasks

Associated with a specific question in an assessment. Typically created by an Approver or Assessment Owner to address an issue with a respondent's answer. Whether an issue is triggered is determined by Question Compliance settings in the Assessment Template.

Remediation tasks can be created manually on the Assessment page as described in Creating Remediation Tasks, or triggered automatically based on respondent answers if configured in the assessment template as Auto Tasks.

All remediation tasks must be completed before an assessment can progress to Approved status. If an assessment is approved while at least one remediation task is still open, it will remain in Approved Pending Remediation state until all assignees mark their tasks as complete.

⚠ Important: A task, once created, can never be deleted. It must be marked as complete.
