Ability to Copy Email Templates and Landing Page Templates
Benefits
This enhancement enables users to create draft email templates and landing page templates that have the same information as existing templates. This aims to improve the efficiency when creating multiple templates.
Details
A new Copy icon is added to the email template and landing page rows, in addition to the existing options such as Edit, View, and Delete.
Copying Email Template Details
Copying Landing Page Template Details
When users click on the Copy icon, IRM directs the users to the Details page of the newly drafted template, where the details mirror those of the associated template. The new draft template’s name contains the word “Copy” as a suffix.
Users can then perform the following actions after updating the fields in the new draft template:
- Cancel - Click this button to cancel the template creation process.
- Preview - Click this action to preview the draft template.
- Add - Click this action to add the template and make it available for use.
For landing page templates, users must update the fields in the new draft template, and the request type and intake form must be unique to avoid conflict and validation errors when adding the draft template.
For email templates, newly created draft templates do not automatically include attachments from the source template. Users need to manually update the attachments in the new draft template. Users must also update the fields in the new draft template and must ensure unique field combinations to avoid validation errors when adding or saving the draft template.
Ability to Select All Attachments When Sending Complete Request Email
Benefits
This enhancement simplifies the process of managing attachments within requests.
Details
A new Select All checkbox is added to the Attachments section of the following requests:
- Request Clarification
- Extend Due Date
- Reject
- Accept
- Send Email under Email Tab
Users now have the ability to easily click the Select All checkbox to automatically mark all attachments associated with the request they are completing.
Added New Macros in “Request Created” Email Template Type
Benefits
This enhancement enables users to have granular control over the details included in macros.
Details
The following new macros have been added to the Request Created email template type:
- Data Subject Type - Use this macro to specify and categorize the data subject type.
- Data Subject Email - Use this macro for the data subject’s email address.
- Request Due In Days - Use this macro to define the number of days within which the request must be completed.
- Request Assignees - Use this macro to assign specific individuals to handle requests.
Users can add a separate macro for each detail. The macro information then reflects in the template when sent.
Ability to Include/Exclude Data Subject Type in the Report Download Column Options
Benefits
This enhancement enables users to select or deselect Data Subject Type in the report download column options.
Details
A new Data Subject Type checkbox is added to the Request page columns drop-down to enable users to include or exclude data subject types when they generate and download Data Subject Request (DSR) reports. When users select Data Subject Type, IRM includes it in the generated report, providing relevant information about the data subject.
