Brands Page Enhancements
Benefits
This introduces enhancements to the Brand management functionality to allow users to easily create and manage brands through a streamlined process.
Details
The Brands page is enhanced to enable users to create a brand by clicking the Create Brand button, which opens the Brand Details page.
The following fields are available in the Brand Details page:
- Brand Name: Enter a unique brand name.
- Description: Enter a brief description of the brand. The character limit is 400 characters.
- Support Email: Enter a valid email address.
- Privacy URL: Enter a valid URL.
Users can upload one logo per brand in the Brand Logo page.
Users can edit the brand information by clicking the logo. Note that any changes in the brand details will impact new requests associated with the brand.
Deletion of a brand is only possible if there is no associated intake form or request. When a user clicks the Delete button, IRM will display a toast message to confirm deletion.
For existing accounts with a brand entry in the Brands page, the Brand Name is set to the file name and will retain the existing logo while the Description, Support Email, and Privacy URL are left blank. Intake forms with an existing Custom Brand have corresponding entries in the Brands page. A new URL with a unique Brand ID is created for these forms, allowing users to update the form link accordingly. For these forms, the Brand Name is set to the custom brand value while the Description, Support Email, Privacy URL, and Logo are left blank. These forms automatically use the No Brand option in the Publish tab of the Intake Form builder.
Ability to Select Multiple Brands in Intake Forms
Benefits
This enhancement introduces a new feature that allows users to select one or more brands when creating an intake form.
Details
Users can now select one or multiple brands when building their intake forms. To support this feature, the Brand field in the Intake Form Details page is updated to a multi-select dropdown field (1) to allow users to choose from the list of brands created in the Brands page. They can either select one or more brands, or none at all. Users can choose how to display brand information on the intake form (2):
- Display Brand Name
- Display Company Name
- Do Not Display Name
Users can also select whether to display the company logo, brand logo, custom logo, or choose not to display any logo. When enabled, the selected brand logo and name will render on the form.
Ability to Generate Brand-Specific Intake Form Links
Benefits
This enhancement introduces the ability for users to generate unique intake form links based on the brand(s) they selected.
Details
Users can now generate multiple intake form links depending on the brands they selected during the intake form creation process. To support this feature, a new Select Brand section is added to the Publish tab of the Intake Form builder. This section displays the list of brands associated with the intake form. Users can select a brand to display the unique code and intake form URL.
Existing forms with no brand defaults to No Brand logo as default selection, with the URL remaining unchanged with no brand parameter. They can select it if they want to use an Intake Form URL without a brand. The No Brand logo will always be displayed even if the user selected one or more brands.
Note that users cannot deselect brands that have requests associated with them or where a Data Subject Request (DSR) has been submitted. Brands can only be removed if there are no associated requests.
Associate Privacy URL and Support Email with Specific Brands
Benefits
This enhancement enables users to associate unique Support Email and Privacy URL with each brand.
Details
Users can now associate a unique Support Email and Privacy URL with each brand when creating or editing an intake form. The associated Support Email and Privacy URL are automatically integrated to the related landing pages and email templates as Brand Support Email and Brand Privacy URL macros.
Users can utilize macros in their templates to insert the associated Support Email and Privacy URL based on the brand they selected. The system initially retrieves the Privacy URL and Support Email values at the brand level. If no values are found, IRM then checks at the account level. If there are no values found, the system returns the following on the landing page and email notifications:
- Privacy URL: Empty
- Support Email: Support Email not found.
