Tag Groups are collections of custom field values that can be assigned to assessments and other entities. They let you organize, classify, and filter records using consistent, reusable labels. When creating assessment templates, Tag Groups of the Pick List type can be imported as answer choices for Single Select, List Box, and Multiple Select question types.
This article explains how to navigate to Tag Groups, create and configure a Tag Group, edit or delete an existing Tag Group, and build a hierarchy of Tag Values within a Pick List Tag Group.
What you can do
✓Create Tag Groups of type Pick List, User, or Text
✓Edit or delete existing Tag Groups
✓Build hierarchical Tag Values within a Pick List Tag Group
Navigating to Tag Groups
From the left side of the page, hover over the Assessment Manager icon, and then navigate to Admin (1) > Tags (2) > Tag Groups (3).
The list on the left (4) shows all Tag Groups currently configured in the system.
Creating a Tag Group
1
Click Add New (5) and enter a name (6) for the Tag Group in the window that appears.
📋 Note: The name of the Tag Group becomes the field name in any associated entities.
2
Select the group type (7), and then click Create (8).
Pick List — creates a defined set of Tag Values that can be expanded into a hierarchy. Use this type when you want users to select from a controlled list of options.
User — allows any user to be tagged to a record so the record can be searched by user later.
Text — allows any free-text value to be entered and associated with an assessment for later filtering.
Editing a Tag Group
1
Click the Edit button (1) next to the Tag Group name, and then enter a new name (2).
2
Click Update.
Deleting a Tag Group
Click the Delete button (1) next to the Tag Group name, and then click OK (2) to confirm.
⚠ Warning: Deleting a Tag Group that is already associated with entities removes the corresponding fields from those entities, and any tag values previously entered by users will be lost. Check Tag Group Associations first to confirm the Tag Group is not in use before deleting it.
Creating Tag Values
📋 Note: Tag Values only apply to Tag Groups of the Pick List type.
Tag Values can be organized into a hierarchy within each Tag Group, with each tag able to have parent and child tags. For example, you may want to organize assessments by country, grouped by region.
In the example below, a Tag Group called COUNTRIES (1) contains tags (2) for countries where a company does business, organized into regions.
In this example, UK and Russia are not grouped into any region, and a non-country tag called "other" is included for countries not in the list. All countries and regions are children of a top-most root tag called "Worldwide."
To build this tag hierarchy:
1
Click the expand arrow next to the Tag Group name to show the top-level Tag Values, and then click Add New (3).
2
Enter a name (4) for the new Tag Value — in this example, the top-most value is Worldwide. Use the Selectable checkbox (5) to control whether users can apply this tag to records.
Selectable checked — users can select this tag and apply it to records directly.
Selectable unchecked — the tag cannot be selected by users, but can still be used as a filter to show all records tagged with any of its child tags.
3
Click Create (6) to save the Tag Value.
4
Click the expand arrow next to the new "Worldwide" value to show its child tag list.
5
Click Add New (7) to create child tags. In this example, create: North America, Latin America, EU, UK, Russia, and other.
📋 Note: Leave Selectable unchecked for region tags (North America, Latin America, EU) so users cannot select a whole region — only individual countries. Make sure Selectable is checked for all country tags and for "other." Tags are always sorted alphabetically and that order cannot be changed.
6
Expand the EU region and add its country child tags: Germany, France, and Italy. Make sure Selectable is checked for all three. Repeat this process for the Latin America and North America regions.
📋 Note
You can click the Edit button at any time to rename a tag or change its selectability. Click the Delete button to remove a tag — deleting a tag also removes all of its child and descendant tags. Once your tag hierarchy is complete, associate the Tag Group with the entity where you want the tag field to appear. See Associating Tag Groups with Entities for instructions.
