Updated Intake Form Renderer and Builder
Problem Solved
Users need more styling customizations in their intake forms.
Details
Users can now use the new renderer feature for their new intake forms. This feature allows more styling customizations.
Updated Default Request Type “Do Not Sell or Share My Personal Information”
Problem Solved
California now requires the “Do Not Sell My Personal Information” request type to be “Do not Sell or Share My Personal Information.”
Details
The Do Not Sell My Personal Information default request type is updated to Do not Sell or Share My Personal Information. For existing customers using this request type in their intake forms, the request type automatically changes to Do not Sell or Share My Personal Information.
If the request type display name is not changed, then it will automatically change to Do not Sell or Share My Personal Information. If the user customized the request type display name, then there will be no changes to their request type display name. Old requests that were submitted with Do Not Sell My Personal Information will not be changed, but if updated, then it will change to Do not Sell or Share My Personal Information.
Default TrustArc Due Date Setup for Vietnam
Problem Solved
Vietnam’s new Privacy Law is going into effect from July 1st, 2023.
Details
The default TrustArc due date for Vietnam is set to three days for all request types. Users can set the due in days to more than three days if they prefer. They can also enable Automatic Extension and specify the number of days to extend the extension period.
New “Right to Object” Default Request Type
Problem Solved
Users need a request type for their Right to Object.
Details
A new Right to Object default request type is added to the list of available request types. The users need to add the new request type from the existing options to be able to display it in the Request Type > Options tab.
In addition, the following translations are also supported:
- FR: Droit d'opposition
- IT: Diritto di opposizione
- DE: Widerspruchsrecht
- ES: Derecho a objetar
New Warning Modal When Closing Requests with Open Tasks
Problem Solved
Users did not receive warnings while closing requests with open tasks.
Details
This feature adds a new warning dialog which prompts the user if the request still has open tasks, which are in Open and In Progress status. When closing the request by selecting either Accept or Reject, the system will display the warning dialog when it detects that there are open tasks.
Support for All Form Fields Within Partial Anonymization Rules
Problem Solved
Users need to be able to select the fields under Display Rules for partial anonymization while setting the partial anonymization rules.
Details
Users can now select the following form fields under Display Rules for partial anonymization:
- Single Line
- Paragraph
- Date
If the values of these display rule fields are not stored in a request, the system does not anonymize them. Only the display rule fields with values are anonymized.
Display Partially Anonymized Form Fields in the Main Page
Problem Solved
The partially anonymized form fields were only visible when the users opened the drawer. They should be able to view the form fields set for partial anonymization in the main page.
Details
Users can now access partially anonymized form fields in the Rules main page. When users select Partial Anonymization in the Rules page, IRM counts and displays the partially anonymized fields based on the number of fields set for partial anonymization.
Users can set up partial anonymization of form fields by clicking the Add Field or Add anonymization button. Once done with the configurations, they can click the Save Settings button to save the setup.
The Form Field value is a mandatory field to ensure that users will enter a value in the form field settings.
Users can edit the settings through the Edit icon on each form field or by clicking on the Settings button to review the other partially anonymized form fields.
Users can click the Delete icon per form field setup or click the Delete all fields button if they want to clear the form fields setup for partial anonymization.
When deleting partially anonymized form fields, either one or all form fields, a confirmation modal displays.
Deleting a Single Form Field
Deleting All Form Fields
NOTE: This feature does not cover form fields without label. Those are not included in partial anonymization.
Notifications for Tasks and Requests with Past Due Dates
Problem Solved
The admins and assignees of tasks and requests want notifications when the due date is in the past so they could work on the tasks and requests.
Details
A new Due Date is in the past checkbox is added under Approaching due date notification to admins and assignees for requests and Approaching due date notification to task assignees in the Notifications tab of the Settings page. Users can now send notifications to admins and assignees for requests and task assignees when the due date for a task or request is in the past.
The Due Date is in the past checkbox is disabled by default. Once enabled, IRM sends notifications for all open requests and tasks with Open and In Progress status if the due date is negative. IRM will also send the notifications if the request status is Unverified and Verified. However, for unverified requests, if the user resets the Due In Days when the status is set to Verified, IRM will stop sending notifications.
IRM sends a daily notification until the user disables the notification for Due Date is in the past, or when the task or request is closed or completed.
Send Reports to Multiple Email Addresses
Problem Solved
Users want to send DSR reports to any email addresses while generating or scheduling the reports.
Details
Users can now specify multiple email addresses as report recipients when generating and sending scheduled reports. The user’s email address displays by default and then, they can add up to a maximum of ten email addresses.
Verification Email When Email Address is Updated on Data Subject Details
Problem Solved
Users need an email verification once an email address is updated in the data subject details.
Details
A new Send Email Verification checkbox is added under the Email field in the Edit Data Subject Details window to enable users to send an email verification request to the updated email address.
If the user enables the checkbox, the request status changes to Unverified and the email verification status becomes Pending. Old tasks are retained while new tasks will be created again.
