Improved Due In Days and Extension Periods

Problem Solved

Users did not receive warnings while manually extending the request if the Extension period was set to zero.

Details

Users can now set the Extension Period to zero. When this is set, the system automatically disables the Automatic Extension field.

If Extension Period is set to zero for a jurisdiction, when the user clicks the Extend Due Date button in the request coming from that jurisdiction, a warning is displayed informing the user that extension may not be allowed in that jurisdiction.

Users can proceed with extending the request by clicking the I am aware of this warning and will continue extending the request checkbox.

Email Template Enhancements

Problem Solved:

Default values in Email Templates are updated.

Details:

The Email Templates are enhanced as follows:

  • For all existing customers and templates, the new default logo is the Intake Form Logo (1). This applies to all existing email templates, including the custom templates created by the customers.
  • The new default value in the Reply To field is irm-reply@trustarc.com (2). This is only applicable to all existing default email templates.
  • The email in the Custom From field is followed by notifications@trustarc.com (3).
  • The “Thank you, TrustArc” verbiage is removed from default email templates.

Landing Page New Default Logo

Problem Solved:

Default logo settings in the Landing Page templates are updated to “Intake Form Logo.”

Details:

For all existing customers and templates, the new default logo is updated to be the Intake Form Logo. This applies to all existing email templates, including the custom templates created by the customers.

Ability to Save and Apply Filter Settings

Problem Solved:

Users want the ability to create and save the filters in their My Task and Request tables to be able to search their requests and tasks more efficiently.

Details:

When the users click the Filter button, they can now save their filter setup by clicking on the Save filters button. Then, a modal displays requesting for a Filter Name. The filter name must be unique.

If the user enters a duplicate name, an error message displays informing the user that the filter name is already in use. The user will be asked to provide another name.

Click the View Saved Filters button to access and view the list of saved filters. Users can then switch between saved filters.

Users can also edit any of the saved filters by clicking the Edit button. This also allows the user to change the filter name as needed.

If a user edits any of the filters selected, they will have the option to Save and Update the filter, which overrides the previous filters, or the option to Save as New, which saves a completely new set of filter selection.

Click View Saved Filters > Delete icon to delete a filter set.

In addition, users now have the option to either Hide inactive filters or Open hidden filters.

When users go to the Requests or Tasks page, the system displays the last filter used or the current filter as the default.

Complete a Task With a Link

Problem Solved:

Users want the ability to close a task by clicking a link in the email.

Details:

A new macro called CloseTaskLink is added to the following templates:

  • New task Internal Assignee
  • New task External Assignee
  • Task Change for Internal Assignee
  • Task Change for External Assignee
  • Task attachment notification to Assignees
  • Approaching due date for a task
  • Past Due Date for a Task

The internal and external task assignees receive a notification that a task has been created and assigned to them. When the assignee clicks the Close Task Link, a window displays where the user can confirm if they will close the task. When the user confirms the task completion, the task in the request is set to Completed.

Ability to Invalidate Download Links sent to Data Subjects while Deleting Attachments

Problem Solved:

While deleting the files on the Requests or Tasks, users may want to invalidate attachment links sent to Data Subjects that contain these files.

Details:

When a user deletes an attachment on a request or task manually, where that attachment was included in a link sent to the data subject, IRM now shows a warning to the user deleting the attachment.

The user can invalidate the link before they proceed with the deletion. They can select either of the following:

  • Cancel - This action terminates the delete modal.
  • Delete Attachment - This action deletes only the attachment and terminates the modal. However, when the user clicks the link, the same behavior we have today, where the user is able to download all the attachments, is supported.
  • Delete Attachment and Link - This action invalidates the link, deletes the attachment, and terminates the delete modal.

It is possible that the attachment deleted is only one of the files in the link or zip file. The system can invalidate the link and affect all the files. The user’s actions are recorded in the Activity Logs.

Use REST API to Search for Tasks and Subtasks

Problem Solved:

Users want the ability to use the REST API to search for tasks and subtasks based on different inputs.

Details:

Users can now use  REST API to search for tasks and subtasks based on different inputs such as:

  • Task Name
  • Status
  • Task created date range
  • Task closed date range
  • Task assignees (support for internal and external users)
  • Task due in date range
  • Priority
  • Task / Subtask
  • Resolution
  • IT System Name
