Simplified business process record template

  • Description: The Data Inventory Hub now offers two templates for business process record creation. The first is the current business process record, which allows users to add data elements and processing purposes at the system level (i.e on the System and Data Flow pages). The second template is the Simplified Business Process Record Template which allows the user to add data elements and processing purposes to the business process record instead of the system level, ultimately making it quicker and easier to create records and generate reporting.
  • Access permissions: Admins have the ability to enable or disable either business process record template.

Hover the mouse over the Data Inventory Hub icon, and then navigate to Settings > BP Templates.

By default, two business process record template types will be listed on the BP Template list page. The templates are labeled “Simplified Business Process Template” and “Business Process Template”.  You can enable or disable either of the template by clicking the toggle button.

Simplified Business Process Template (This is the new template)

The Simplified Business Process Template asks users to add the data elements and processing purposes that are used in the Business Process Record to the Security and Risk page instead of on the System page, Data Flow and Security & Risk pages. This will allow users to more quickly create a business process record and generate reporting without adding the specific location of the data elements and processing purposes.

Business Process Template (This is the legacy template)

The Business Process Template is the legacy template, which allows users to add data elements and processing purposes on the System, the Data Flow and the Security & Risk pages. Users are able to specify the systems in which the data elements are stored (system page) and where they are received from or sent to (data flow page), for more granular detail.

  • Enabling/Disabling Templates: Admins can enable either template or both templates by toggling the icon in the status column. If the admin enabled both templates, the user will have the option to select the type of template which they would like to use when they click Add New on the business process all records page.

  • Edit Template Name, Description & Tags: Admins can edit the template name, description and tags by clicking on the edit icon or clicking on the name of the business process record template.
  • Name: The name of the Business Process Record Templates can be changed in the edit template section. 
  • Tags:  Tags can be added to each template type, allowing admins to further organize their business process record templates. Although only two template types will be available, admins will soon be able to create additional template types in this section.
  • Description: The “Description” field is a custom free-form field that admins can use to write a brief description about the template. To edit the description, admins can click the “Edit” icon to the right of the business process template column, or click on the business process template name.
