Processing the Request

When DPOs are ready to process the request, they have two choices: Accept or Reject the request. While accepting the request, DPOs must provide any information requested by the Data Subject. DPOs can also reject the request – this means the request doesn’t need to be fulfilled based on compliance requirements. However, if this is the case, DPOs will have to provide reasons to the Data Subject regarding why the request was rejected.

While processing the request, DPOs can select file attachments to send to the Data Subject. These attachments will be in the form of a zipped file and a link to download this zipped file will be sent to the Data Subject in the email. While processing the request, appropriate email templates are displayed and DPO can further customize the email before sending it out to Data Subject.

Closing Requests Without Sending Email

DPOs and Admins can also opt to close the request without having to send an email to the Data Subject. To do this, select the Do not send email radio button under Email Consent section.

When Requests are closed, any Tasks associated with that Request are automatically closed.

NOTE: The underlying reason for closing the request without sending an email to the Data Subject should be clearly stated in the fields provided. This action is also recorded in the Activity Log.
