Once a template is published, it cannot be changed directly — doing so would create ambiguity for the existing assessments based on it. Instead, changes are made by creating a new version. A new version is effectively a cloned template but is not listed as a separate template. Existing assessments remain linked to their original version; new assessments are always linked to the most recent published version.
Creating a New Template Version
1
From the left side of the page, hover the mouse over the Assessment Manager icon, and then select Template Builder.
2
On the Assessment Templates page, click the ellipsis button to the right of the template record and select Update Version.
3
Click Yes to confirm.
4
Click the ellipsis button next to the template record and select View Versions to access the new version.
5
Click View to the right of the newly created version.
📋 Note: Do not change the template name in a new version. If you need a different name, clone the template under the new name instead of creating a new version.
6
All questions in the new version are locked by default, indicated by a lock icon (1). To edit a question, click the ellipsis button to its right and select Unlock Question (2).
7
If you are not yet ready to publish, click Save at the bottom of the page. The system saves the work-in-progress as a Revision — a temporary draft of the new version.
Revisions cannot be used to create new assessments. To see all revisions, click Revisions in the top-left corner of the Assessment Templates page.
Click the ellipsis next to a revision name to reassign, continue editing, or delete it.
⚠ Note
›Until the revision is published, new assessments continue to use the previously published version.
›While a revision exists for a template, you cannot create another new version via Update Version. The system will display an error message indicating the template is locked.
8
When you are finished editing, click Publish. The template's version number increments and the revision disappears from the Revisions page.
Viewing Previous Versions
You can review the details of any previous template version at any time — for example, to check the exact phrasing of questions used in older assessments. Click the ellipsis next to the template name and select View Versions.
Click View next to any version to open it. Previous versions are read-only and cannot be edited.
