Feature Details
Scope Article 30 Report for a specific Data Protection Authority (DPA)
The ability to create an article 30 report where it is in scope for a particular business affiliate and only shows data related to that affiliate versus showing information on all owning entities. By scoping to a particular Business affiliate, one can limit the article 30 report to only show what is necessary for a particular DPA.
The overview section will be specific to the business affiliate selected when generating the report, and only the joint controllers on this business process activity will show in the article 30 report.
There are now two options when generating the article 30 report:
Option 1
Choose the global default option to continue generating the article 30 in the existing format which shows the Primary Contact in the Overview section, and will show all Data Controllers and Joint Controllers.
Option 2
Select a specific Company affiliate (business affiliate) that has been added as an Owning entity on the Business Process Record (Details > Owning Contact):
The Overview section of the article 30 report will now show information on the Company affiliate that you selected in Option 2 above, which is in scope with the DPA you are generating the report for.
As part of Option 2, we will also only show the Joint Controllers for this processing activity instead of also showing all Data Controllers.
Article 30 Category of Recipients
Recipients added to the Business Process data transfer will now show up in the article 30 report under “Category of Recipients”.
Inherit Data Subject from owner in Organization Hierarchy
When an owner is assigned for a System Inventory Record, if that owner is an entity in Organization Hierarchy (ie. Company affiliate) which has data subjects configured , we will offer to inherit those data subjects and add them to the system inventory record.
Configuration in Organization Hierarchy
1. Edit the Organization Hierarchy entity.
2. Set Yes to “Do you want to run law applicability rules for this entity.“
3. Scroll down to configure data subjects and locations.
System inventory record configuration
1. Set the Owned by field to the Organization Hierarchy entity.
2. Choose whether to add the data subjects and locations from the entity configuration in Organization Hierarchy.
3. Save changes to the record.
Rich Text Editor for Description Field
The description field on a Business Process record and on a BP Form now support rich text. You can stylize the text as well as add a URL Link.
The rich text will then also show up in the description section in the Article 30 and Business Process Summary Report:
Horizontal Scrolling on Hub List Pages
To accommodate showing more information in the columns in the Hub list pages, you can simply scroll to the right to see the additional columns.
Add assignees by @ mentioning users in Comments
After the Form has been sent, you can @mention a user that has not been assigned to the form, and then they will automatically be assigned as an assignee on the form and the form will be sent to them over emails.
In addition to providing this functionality on the form editor, this will now also be possible from the form sent to assignees as long as the “Sharing of Questionnaire by Assignees” and “Comments” settings have been enabled in the “Send Form” model (click the send button in the form editor).
Note that the user has been added in the Send modal.
Attachment size increased
Attachments added to comments or in the attachments panel for Business Process Records and BP Forms have had the attachment size increased to 100MB.
Send reminder emails for Form Due Date
When sending a Form, you can now set email notification reminders for one week prior to due date and on the due date.
