Creating Custom Data Elements and Categories

Overview

Data elements are the individual types of personal data that your organization collects and processes — for example, email address, date of birth, or national ID number. In the Data Mapping & Risk Manager (DMRM), data elements are organized into categories and assigned a risk level to reflect their sensitivity and the regulatory protections that apply to them.

This article explains how to create a new data element in DMRM, including how to set its category, risk level, and visibility.

Creating a Data Element

To create a new data element, follow these steps:

In the left navigation panel, hover over the Data Mapping & Risk Manager icon, and then navigate to Settings > Data Elements.

In the top-right corner of the page, click Add New, and then complete the following fields:

Name — Enter the data element name.
Category — Select a data element category from the dropdown list. If no existing category applies, select Create new and enter a name for the new category.
Risk Level — Select one of the following options:
Confidential — The data element is personal information protected by law. Loss, misuse, unauthorized access, disclosure, alteration, or destruction may result in a low to medium risk for the individual or organization to whom the data relates.
Public — The data element is made public through reporting, legally required disclosures, or by the individual or organization to whom the data relates.
Sensitive — The data element is personal information subject to heightened protection by law. Loss, misuse, unauthorized access, disclosure, alteration, or destruction may result in a high risk for the individual or organization to whom the data relates.
Special Categories — The data category is specifically recognized under Article 9 and Recital 51 of the EU General Data Protection Regulation as potentially creating significant risks for the fundamental rights and freedoms of individuals.
User Determined — The risk level is defined by your organization.
Visibility — The data element is set to Visible by default. To hide it from selection, clear the checkbox.

Click Add.

📋 Note: The new data element appears in the Data Elements list and is immediately available for selection across Data Mapping & Risk Manager, provided its visibility is set to Visible.
