Creating a System Record using AI

Overview

TrustArc Data Inventory lets you use AI to accelerate system record creation. Instead of entering details manually, the AI Import feature searches for and fetches relevant data for a named system, letting you review and select which fields to apply before the record is created.

This article explains how to create a system record using the AI Import feature, from launching the modal through completing the required record tabs.

Prerequisites
Active TrustArc account with Data Inventory access
Primary company, company affiliate, and third-party records already set up
Creating a System Record Using AI

To create a system record using AI, follow these steps:

From the left side of the page, hover over the Data Mapping & Risk Manager icon, and then navigate to Data Inventory > System Records tab.

From the top-right corner of the page, click Add New, and then select AI Record Creation.

Click Add Record Name (1), and then do the following:

Enter the system record name (2). To search for two or more records at the same time, click Add Record Name again to add another entry.
Make sure the record type is set to System (3).
Click AI Auto Fill Search (4). The AI will start fetching data for the record.
📋 Note: You can also add multiple third-party and system records at the same time by clicking Import CSV.

Once data has been found for the record, click View to its right.

In the AI Search Found Data modal, select the fields you want to use for the record, and then close the modal.

Click Create Record.

The new record appears at the top of the System Records list. Click the record name to open it.

The system redirects you to the Details tab of the record.

Review the Details tab, and then complete the required fields in the following tabs. For more information, see Creating a System Record.
