Migration Settings

  1. Click the Connect Assessment Template button, and then select an assessment template from the dropdown list. You can use the Search field to find the template quickly.

NOTES:

  • The assessment template name ends with values that indicate the version number of the template.
  • The system redirects you to the Migration Settings tab where you can enable the connections you will integrate.
  1. From the Migration Settings tab, click Add Configuration, and then select a Data Mapping & Risk record type to map the assessment data to (i.e., Business Process record) from the drop-down.

    NOTE: If the record type to map the assessment data to is set to System, and the question selected in the Template Question field has country names as answer choices, then you can map unique country names to standard countries in the Data Mapping & Risk Manager.

  1. From the Add Configuration modal, do the following:


 

  • Enter a unique configuration name.
  • Select a map status. This determines at what status of the assessment the data migration will occur. You can select either Approved or Approved Pending Remediation, or both.
  • Select one of the following migration actions:
    • Only migrate assessments associated with a Data Mapping & Risk record
    • Notify Admins
    • Create new or update existing
    • Always create new
    • Always update existing

  • Click the Enable toggle to enable or disable the Data Mapping & Risk record type from being associated in the Assessment Manager.
     
  • Click Add.
  1. The newly added configuration is displayed in the Migration Settings page. Here, you can still enable, edit, or delete configurations.

  1. Click Next to go to the Map Questions tab where you can map the questions from the selected assessment template to a Data Mapping & Risk field to receive the answer. 

Understanding the Different Migration Actions

Notify Admins

When this option is selected, if the association exists from the assessment to the Data Mapping & Risk record, and the assessment goes to the assigned status in the mapping page, then data is migrated from Assessment to the Data Mapping & Risk record. If the association does not exist, then the data will not automatically be migrated, but rather the admin will be notified via an email. In the Migration Summary page, admins can associate a Data Mapping & Risk record to the assessment to port the data from Assessments to the Data Mapping & Risk record.

Create new or update existing

If this option is selected, we will attempt to:

  1. Check whether association between the assessment and a Data Mapping & Risk record exists for the given record type. If this association exists, data is migrated from Assessment to this Data Mapping & Risk record.
  2. If no Data Mapping & Risk record is associated with the Assessment, look for this assessment’s parent assessments’ associations for the given Data Mapping & Risk record type. Parent assessments are the assessments from which this particular assessment was cloned. If there is only one such Data Mapping & Risk record associated with some or all parent assessments, then that Data Mapping & Risk record is updated. This record is associated with the  Assessment after the data migration. 
  3. If there are multiple Data Mapping & Risk records associated with Assessment's parents, then a message is logged in the Integration Logs and an email is sent to the Admin to indicate the correct association to this assessment.
  4. If there are no Data Mapping & Risk records associated with the parents or there are no parent assessments, then a “name search” is done in the Data Mapping & Risk. Integration searches for the “name” of the Data Mapping & Risk record as specified in the assessment answer in the Data Mapping & Risk for the record type mapped. If a unique match is found in the name search, this record is mapped to the assessment and data is migrated to this record.
  5. If no records are found in the name search, then a new Data Mapping & Risk record is created and associated with the assessment. Data is migrated to this newly created record.
  6. If multiple matches are found during the ‘name’ search, a message is logged in the Integration Logs and an email is sent to the Admin to indicate the correct association to this assessment.

Always create new

Select this option to create a new Data Mapping & Risk record automatically from every assessment of an assessment template unless a Data Mapping & Risk record is already linked to that assessment.

Always update existing
