Using Advanced Search

Overview

Advanced Search lets you build complex multi-field searches in a user-friendly way, as an alternative to the syntax-based approach described in Searching Assessments by Text. To open Advanced Search, click the Advanced Search link (1) to the right of the Search Assessments field on the Assessments page.

On the Advanced Search page, select the first field you want to search by from box (2). Additional fields will appear once you make your selection.

Searching by a Single Field

Select the field to search by from dropdown (2), choose a search type from dropdown (3), enter or select the search value in field (4), and click Search (5). The available search types in (3) depend on the field type selected in (2):

Free-text fields (e.g. Assessment Name) — search types: with all of the words, with the exact phrase, with at least one of the words, without the words
Single-value list fields (e.g. Template, Assessment Creator) — search types: is, is not
Multi-value list fields (e.g. Approver, Label) — search types: has all, has at least one, without, unassigned
📋 Note: Unassigned means the field has no value assigned. For example, selecting "unassigned" for the Label field returns assessments with no labels. The value field (4) is automatically disabled when "unassigned" is selected.

Date fields use a range search type only. Click the text field (4) to open the date picker. Choose a predefined range (Tomorrow, Today, Yesterday, Next 5 Days, Next 30 Days, etc.) or click Custom Range (6) to specify any date range, including dates in the past.

Available Search Fields

The following metadata fields are available in Advanced Search:

Identifier Assessment identifier
Name Assessment name
Template Assessment template name
Asset One or more assets associated with the assessment. Only applicable when the Data Inventory Manager feature is enabled in your account.
State Assessment state: Open, Survey, Survey Complete, Survey Incomplete, In Review, Review Complete, Pending Approval, Approved, or Approved Pending Remediation. See Assessment States.
Creator Creator name
Owner Owner name
Approver Approver(s) name
Respondent Respondent(s) name
Associated Member One or more of the assessment's Creator, Owner, Approver(s), Participant(s), or Respondent(s).
Label One or more assessment labels. See Using Assessment Labels.
Tag The first custom field of "Pick List" type added to the Assessment entity. See Adding Custom Fields.
Created Date Date when the assessment was created.
Reminder Date Assessment reminder date.
Closed Date Date when the assessment reached Approved status — approved by all approvers with all pending remediation resolved. See Understanding the "Default, with Acceptance" Workflow.
Published Date Date when the assessment was published.
Approved Date Date when the assessment was approved (reached Approved or Approved Pending Remediation status). See Understanding the "Default, with Acceptance" Workflow.
Question Search by question text and/or by the answer given to a question with specific text.
Answer Search assessments by one or more associated entities from the Assessment Manager module.
Searching by Multiple Fields

After defining the first search rule, click the + icon (1) to the left, or press Enter, to add a second field. Repeat to add as many rules as needed. Click the delete icon next to a rule to remove it.

When searching by multiple fields, use the All / Any combobox (2) at the top to control how rules are combined. All requires every rule to match (AND logic). Any requires at least one rule to match (OR logic).

In the example below, selecting All returns assessments whose name contains "California" and that use the CCPA Readiness Assessment template. Selecting Any instead would return assessments matching either condition.

Organizing Rules into Groups

For more complex searches, organize rules into separate groups by clicking the Add another group link (3). Use combobox (4) to set the All / Any relationship between groups — distinct from combobox (2), which controls the relationship between rules within each group. The Add another group link only appears once the last rule in the current group has been defined.

📋 Note: There is only one inter-group specifier (4) per screen regardless of how many groups are present. It applies to all groups. For best results, set the inter-group relationship (4) to be different from the intra-group relationship (2).

In the example above, the system finds all assessments matching: {(name contains "California") AND (created by "Jerus Zamora")} OR (Owner is "Jerus Zamora").

To delete a rules group, click the trash can icon (5) to the right of that group's name.
