Privacy Journey Roadmap

The Privacy Journey Roadmap shows where you are on your privacy journey through an action plan that helps you identify and prioritize tasks that need to be completed and enables you to report on the number of controls that have been assessed, your progress on completing tasks, and the overall control effectiveness. This section outlines how you can set program task priorities and manage generated tasks.

To access Privacy Journey Roadmap, here are the options:

  1. Hover your mouse over the PrivacyCentral (1) icon and select the Privacy Journey Roadmap (2) tab.

  2. Alternatively, access the roadmap via the Program Overview page. You may use the breadcrumb trail PrivacyCentral if you are on any other page.

The widgets on this page display key performance metrics about your privacy program and how far you’ve come on your privacy journey. Let’s take a closer look at each widget’s features and interactive buttons below:

Compliance Overview

This feature allows you to compare the organization’s privacy program progress and effectiveness by organization unit against the laws, frameworks, privacy management categories, and pillars. This is accessible to all account users depending on their user permission. 

You can select between the following options:

  • Set Target: This will be set to default for now, Amber = 0 - 30%, Yellow = 31 - 60%, Green = above 60%
    • The ability to set a custom target is related to user-level permissions. Once set, it does not apply to the entire account.
    • The comparison of measure types is dependent on the target threshold set.

  • Set Org Unit: To view units, select Organization Unit L1 or L2 Hierarchy. Alternatively, choose the preferred organization unit to view between specific organization units as desired.

    • If multiple org units apply, My Org Units will be the default.
    • Option to compare the account's Primary Entity, often known as the Company Name.
    • When an account does not have an org hierarchy, the user can only see data from the Primary Entity.
    • If the user has access to a specific org unit, then they see the option to select ‘My Org Units’.
    • When the account has Organization Hierarchy and the user does not have access to any org units, then the user must see data from the Primary Entity (same logic as other pages such as the Program overview).

  • Set Measure Type: Select between L2 Controls, PMC, Laws, and Framework pillars to compare CE or Progress scores.

  • Measure By: Progress Score or Control Effectiveness score for progress comparison

  • View: This is to view the heatmap with or without scores which by default is set to view with scores.

NOTE: Clicking on any organization unit value will take you to the Review page for that unit.

Attestor Over Time Reports

This widget displays a graph for Managed (Mandatory) vs Advanced (Optional) lines for an attestation for a given Org Unit. Select the Ignore Weighting checkbox to not include weightings in the report.

Progress Over Time

This widget displays the progress of activities for each assessment in order to measure the results. The time frame can be adjusted to view the program of activities over time. 

  • Select a measure type by framework pillars, framework standards, laws, or PMCs (single select). 
  • Select an Org Level (single select) and multi-select Org Unit/s (reportable and non-reportable unit) based on the user permission.
    NOTE:  ​​Up to 20 Org units can be selected for a single comparison view. The chart can be downloaded as an image (.jpeg).
  • Set a range to view the chart (e.g., Past 30 days, Past 90 days , Past 180 days, This Year, Custom).
  • The chart can be viewed by week or month (default selection). For example, if a week is selected, the date range shows as Sept 18-24, 2022  and Nov 2022, Dec 2022, if month is selected.

Control Effectiveness Over Time

This widget gives the ability to track the change in control effectiveness percentage for each assessment in order to see the impact over time for a given law or framework based on the activities performed by users during the assessment period. You can change the filter dropdown to get multiple views of the chart, similar to how progress is shown over time.

Filters and Widgets

The Privacy Journey Roadmap page contains filtering capabilities that allow you to view your action plan and control effectiveness data by top-of-mind laws and standards. 

Filters

Click the Filters button to display your filter options. You can select the Org Unit and the Applicable Standard to display information based on your preferences. Select Clear to reset the filter, or Apply to display them.

Widgets

You can select which widgets appear on the page. Click Widgets to open the widget panel where you can drag and drop widgets you want to display/hide on your Privacy Journey Roadmap.

Action Plan Status Widget

You can easily view your progress and manage generated tasks with the Action Plan Status widget. Tasks are not assigned a priority by default. This allows you to prioritize tasks by the priorities of your program.

Control Effectiveness Widget

The Control Effectiveness widget displays data on the effectiveness of the controls in your program as you respond to questions, complete tasks, and add Accountability Mechanisms to your Policy & Standards Library. The widget displays the following data:

  • Target (1) control effectiveness is 4.
  • Click the More info (2) icon to open the Standard Control Effectiveness Scale (per control).
    • 0 - 0% Effective: There is no control in place or it is unknown.
    • 2 - 40% Effective: Control is in place but there is no documentation.
    • 3 - 60% Effective: Partially-documented control is in place.
    • 4 - 80% Effective: A fully-documented control is in place.
    • 5 - 100% Effective: (Reserved for independent audit and assurance reviews)

  • Click the Overall (3) button to show the overall control effectiveness percentage score. Clicking each of the TrustArc Framework pillars will display the control effectiveness for that pillar.

Controls Assessed Widget

The Controls Assessed widget displays the number of controls that were evaluated and is organized by the TrustArc Framework pillar. It also displays the number of improvement tasks that must be completed. A screenshot of this widget can be easily added to reports and presentations.
