This integration can be set up in four steps:
- Providing credentials and testing the connection
- Mapping the PKWare Systems
- Mapping the Data Elements
- Setting the Fetch Frequency
Providing the Credentials and Testing the Connection
In this step, Admin provides credentials to the customer's PKWARE instance. If the connection is successful, then the Admin can move on to the second step of the mapping.
Mapping the PKWARE Systems
In this step, PKWARE systems are mapped to the Data Mapping & Risk system records. As an admin, you will have these choices:
- Map the PKWARE system to an existing Data Mapping & Risk record
- Do not map the PKWARE system to a Data Mapping & Risk record
-
Create a new Data Mapping & Risk record and map the PKWARE system to this newly created Data Mapping & Risk record
If the list is too long, you can use the filters to only see the PKWARE systems that are mapped and/or successfully synced.
NOTE: Selecting this checkbox (1) will create a System in Data Mapping & Risk when a new system is detected in PKWARE. The default owner of this new system will be the Primary Entity and the default Hosted Location will be the United States.
Mapping a PKWARE System to an Existing Data Mapping & Risk Record
You can map the PKWARE system to an existing Data Mapping & Risk record by simply clicking the field to the right of the PKWARE system and selecting a system record.
NOTES:
-
If the list is too long, you can use the Search field (1) to find the Data Mapping & Risk record quickly.
-
A blue banner is displayed on this page if there are new systems from PKWARE that are not yet mapped. In this case, the new systems will be marked with an icon in the "Add System Mapping" dropdown menu.
Creating a New Data Mapping & Risk Record
If in any case you cannot find a Data Mapping & Risk record that you can map to a specific PKWARE system, then you can create a new record. Click the field to the right of the source, and then click Create New System.
A Create System modal appears. At minimum, you must complete the System Name, Owned By, and Hosting Location(s) fields.
After clicking Save, the new Data Mapping & Risk record is automatically mapped to the PKWARE system.
Setting the PKWARE System to Do Not Map
There may be PKWARE systems that for some reason should not be mapped. In such a case, you can set the PKWARE system to Do Not Map to inform other admins/users to not map the system to a Data Mapping & Risk record.
Click the field to the right of the PKWARE system, and then select Do Not Map.
Mapping the Data Elements
In this step, names assigned to PKWARE systems’ table columns (called sensitive types) are mapped to the Data Elements on the System record. As an admin, you will have these choices:
- Map to an existing Data Element on the Data Mapping & Risk system record
- Do not map to an existing Data Element on the Data Mapping & Risk system record
NOTE: You can only proceed to this step if all the PKWARE systems in the previous step are either mapped to a Data Mapping & Risk record or set to Do Not Map.
Admins can use this filter field to specifically see which sensitive types are mapped or set to Do Not Map.
Adding Data Elements Mapping
-
From the Map Data Elements page, click Add Data Elements Mapping (1).
-
Select a Data Element category (3), and then select a sensitive type (3) from under that category.
- Click Add.
Mapping to an Existing Data Element on the Data Mapping & Risk System Record
Click the field to the right of the sensitive type (PKWARE system’s table column), and then select a data element category (1), and then select a data element (2) under that category. You can use the Search field to find the data element quickly.
NOTE: A blue banner is displayed on this page if there are new systems from PKWARE that are not yet added. In this case, the new systems will be marked with an icon in the "Add Data Elements Mapping" dropdown menu.
Setting the PKWARE System’s Table Column to Do not Map
Click the field to the right of the PKWARE System’s table column (sensitive type), and then select Do Not Map.
Note: You cannot proceed to the next step if not all PKWARE Systems’ table columns are either mapped or set to Do not Map.
Setting the Fetch Frequency
In this last step of the mapping process, Admins can set frequency for bringing data over to the Data Mapping & Risk from PKWARE’s scan results. Frequency can be Weekly and Monthly.
Data Syncing Between PKWARE and the Data Mapping & Risk
Based on the frequency set, Integrations solutions will talk to a PKWARE instance and fetch the latest results of the data source scan. Based on the mapping, these scan results are updated in the Data Mapping & Risk System records.
If a new system or a new Data Element is found, then Admins are emailed with these results and are required to come to the Integration page to map further. The status of the mapping is also displayed in the logs as shown below.
