When users create a new email template, it contains the default system template message, which the users can also update. They can use macros as placeholders in the email text that they can substitute with actual values when they send the email. It contains a Consent Link that shows the consent with the Submit button to perform double opt-in. You can configure the Email Templates under Setup > Email Templates menu.
To create a new Email Template, follow the steps below.
- On the Email Template menu, click the Add New button.
- Under the Basic Details section, enter the following details:
- Email Template Name – This is the unique name of the email template. This field is mandatory.
- Category – Select a value from the dropdown menu. Options include Double Opt-in, Consent Created, and Expired Consent. This field is mandatory.
- Email Template Type – Select a value from the dropdown menu. Available options depend on the selected Category. This field is mandatory.
- Double Opt-in: Double Opt-in
- Consent Created: Consent Creation, All Opt-in, Partial Opt-in/Out, All Opt-out
- Expired Consent: Expired Consent
- Jurisdiction – The countries to associate the email template with.
- Consent Form – The consent form(s) to associate the email template with.
- Brand – The name of the associated brand(s) of the selected consent forms.
- Language – This is the language used for the email template. This field is mandatory. The default language is English but users can also select other languages. If the user selects another language, the system retains the messaging in English and all other default configurations also remain the same.
- Email Template Name – This is the unique name of the email template. This field is mandatory.
- Enter the following details in the Content section:
- Custom From – This is the “From” email address shown in the email.
- Reply To – This is the “reply to” for the email. If the recipient decides to reply to the email, this is the email they would be replying to. You can select either Default (no-reply@trustarc.com) or Custom.
- Custom Email Address - Displays only when Custom is selected. Enter the email address that will receive replies.
- Custom Email Address - Displays only when Custom is selected. Enter the email address that will receive replies.
- Subject – This is the subject of the email.
- Logo – Admin can customize the logo in the email templates using several options. The “Brand Logo” option allows customers to use the same logo used in the consent form across different brands. With this option, when an Email Template is sent out, CPM shows the logo from the corresponding consent form used to submit the Request in the email. “Custom” option allows using an https link to the logo.
- Message – This is the body of email.
- Subscription Link Validity – The default consent link validity is seven days but users can change as necessary. If the consent link validity has passed, CPM will show the expired landing page when users click the consent link. This field is available only for Double opt-in templates and is hidden for all other template types.
- Reset to TrustArc default – This will revert the email template to the system template as reference.
- Custom From – This is the “From” email address shown in the email.
- Click the Add button to create the email template.
