Exporting Multiple Business Process or Data Inventory Records in a Customized CSV File Format

Overview

The Configure Export feature lets you build fully customized CSV reports from your Business Processes or Data Inventory list page. You can select specific records or include all records, apply filters, choose which columns to include, and either download the report immediately, send it by email, or schedule it for recurring delivery.

This article explains how to configure, schedule, and manage custom CSV exports.

Accessing Configure Export

To open the Export CSV modal, follow these steps:

Navigate to the Business Processes or Data Inventory list page.

Click the Download button (1), and then select Configure Export (2). The Export CSV modal appears.

Record Setup

There are two ways to determine which records are included in the export:

Export specific records — In the list view, select the checkbox next to each record you want to include, then click Configure Export from the Download menu. A message at the top of the modal confirms the number of records selected.
Export all records, including future ones — Do not select any records on the list page. Click the Download button and then select Configure Export. You can apply filters to narrow the criteria. If the report is scheduled, any new records that match the filter criteria are automatically included in future deliveries.
Configure Export Tab

The Configure Export tab is displayed by default when the Export CSV modal opens. From here you can add a report name and description, select and reorder columns, apply filters, and choose how the report is delivered.

Export Type

Under the Export Type section, select how the report should be delivered:

Download Now — Click Create Report to immediately download the file to your browser.
Email Report — Send the report to one or more recipients by email. Configure the following fields, then click Create Report:

Recipients — Enter email addresses for system or non-system users.
Subject — Enter a subject line for the email.
Delivery method — Choose to include the CSV as an email attachment or as a secure download link.
Note — Add an optional note to include in the body of the email.

Schedule Report — Send the report via email on a recurring schedule. Configure the frequency, time, timezone, and end date, then click Create Report to save the schedule. Scheduled reports also appear on the Scheduled Exports tab.

Scheduled Exports Tab

The Scheduled Exports tab displays a list of all scheduled exports. The table includes the following details for each scheduled export: report name, description, last export date, next export date, recipients, status, and available actions.

In the Actions column, the following options are available for each scheduled export:

Edit — Modify the scheduled export settings.
Download — Download the most recent version of the report.
Delete — Permanently remove the scheduled export.
Completed Exports Tab

The Completed Exports tab displays a list of all completed exports. The table includes the following details for each completed export: report name, description, last export date, download method, recipients, status, and available actions.

In the Actions column, the following options are available for each completed export:

Edit — Modify the completed export settings.
Download — Download the completed report file.
Delete — Permanently remove the completed export record.
