Understanding the Action Plan section of the Assessment Report page

The Action Plan section (1) appears for assessments in In Review state β€” immediately after the Assessment Creator, Approver, or Owner accepts the respondents' answers by moving the assessment from Survey Complete to In Review. The section shows all incomplete tasks and unresolved issues in one place.

The Tasks and Issues tabs (2) switch between the task and issue lists within each section. Expand or collapse any section by clicking the arrow to its left. Use the My Tasks Only checkbox (3) to filter to tasks assigned to yourself, or use the additional filters (4) to narrow by level of effort, risk level, TrustArc Framework, or labels. Click Export Tasks (5) to download a CSV of all tasks. The + button (6) next to a section header opens the Create Task window for that section, as described in Adding Auto Assessment Tasks. The ellipsis button (7) opens a context menu from which you can mark a task as complete in a single click.

Viewing Tasks

Click the name of a task, or select View/Edit from its context menu, to open the task details in the right-hand pane. Click the ellipsis button in the top-right corner of the pane and select View/Edit.

Once in View/Edit mode, you can update any aspect of the task (subject to your system privileges), including the Summary, assignee, Priority, Due Date, Description, and any Comments or Attachments.

The Email notification checkboxes (1) control automatically generated emails for this task. The Question field (2) shows which section the task is associated with. The Mark as Complete button in the bottom-right corner marks the task as done. The Close button hides the right-hand pane. Click Save to apply any changes.

Viewing Issues

Click the Issues tab (1) under an expanded section to see all issues in that section. Tasks associated with the section are also shown β€” issues are distinguished from tasks by their colour coding. When a question has an issue with one or more tasks, those tasks appear below the issue.

An issue is created automatically when a respondent answers a question in a way defined by the question's Compliance Expression. All issues must be resolved by an approver before the assessment can reach the Approved state. For more information on resolving issues, see Reviewing Answers (Assessment Survey).

Typically, an approver creates one or more tasks for each question with an issue, then marks the issue as resolved once those tasks are completed. Tasks can also be assigned automatically when a respondent answers a question in a specific way, as described in Adding Auto Assessment Tasks.

Clicking an issue name opens the right-hand pane with details about that issue, including the question text, the respondent's answer, the respondent's name, and the Remediation Recommendation from the Compliance Expression that triggered the issue. You can also add supporting documentation and attachments, and view associated tasks at the bottom of the pane.

You can manually change the question's risk score from the right-hand pane by clicking the Risk Score value (2). For more information, see Reviewing Answers (Assessment Survey).

The ellipsis button (3) in the top-right corner opens a context menu from which you can add tasks to the question or switch to the Questions and Responses section to see all questions in that section.
