Changing the Respondent’s survey responses

Overview

The ability for an assessment approver to change survey responses is important in cases where a response needs to be corrected immediately, rather than waiting for the respondent to act, which may take additional time.

⚠ Before you begin
This is applicable only to assessment approvers and other users with sufficient permissions to edit responses.
Survey responses can only be changed when the assessment is in the Pending Approval state.
You cannot edit a respondent's survey responses to questions that have follow-on questions.
Method 1: Changing Responses from the Assessment Survey Page

You can only change survey responses if the Edit Response in Survey Mode setting is enabled. For more information, see Enabling the Edit Response in Survey Mode Setting.

From the left side of the page, hover the mouse over the Assessment Manager icon, and then select Assessments.

From the All Assessments page, open the assessment in Pending Approval state (1), and then go to the Questions and Responses tab (2).
📋 Note: If the assessment uses the original workflow, it must be in the In Review state instead.

Depending on the workflow the assessment uses, click the Update Response or Edit in Survey Mode button (3) to open the Survey page in a new tab.

From the Survey page, make the necessary changes to the respondent's survey responses, and then click Next > Submit.
📋 Note: You can navigate directly to the section where the response that needs to be changed is located.

Method 2: Editing Responses in the Questions and Responses Tab

Alternatively, you can edit survey responses directly from the assessment's Questions and Responses tab.

Open the assessment, and then go to the Questions and Responses tab.

Go to the survey section (1) where you want to edit the response to a particular question.

To the right of the survey response, click the Edit icon (2).
📋 Note: You cannot edit survey responses to questions that have follow-on questions.

Make the necessary changes to the respondent's response, and then click Save Response (3).

Adding Comments and Attachments

After changing a respondent's survey response, you can also add comments and supporting documents.

To the left of the survey question, click the plus (+) button (4) to expand the question.

To add a comment, expand the Comments area (5), and then click Add Comment (6). To support your comment with a document, click Add Attachment (7).

To add attachments or supporting documents, click Attachments & Supporting Documentation (8), and then click Add Attachment (9).
